The Lake Wales Arts Council seeks an Executive Director with experience and creativity to effectively oversee and manage the operations of the Council and the Lake Wales Arts Center. The Lake Wales Arts Center is comprised of  1927 church converted to a 250 seat performance space and offices and a new addition added in 2000 with classrooms, a dressing room and a state of the art visual arts gallery. The Arts Council presents 10-15 concerts per year, 7-8 rotating art exhibitions, summer Artscamp for children and art and music classes for adults and children. Other programs offered are the outdoor Lake Wales Art Show, Lake Wales Chorale, Lake Wales Youth Chorale, Student Art Show, Youth Music Festival and promotes arts education for the community and region. The ED is responsible for daily operations, fiscal and facility management, fund development, marketing, artistic programming, liaison with arts groups, artists, public, volunteers and supervising 2 full time and 14 part time employees.

            Qualifications include a minimum of a Bachelor’s Degree, 3 -5 years of arts administration/management experience. The successful candidate will have strong interpersonal and managerial skills, a background in building management, familiarity with both visual and performing arts and proven development and grant writing experience with an ability to understand and analyze financial statements and be proficient with computers. Should be proficient in Word, Excel, Blackbaud or Giftmaker Pro, Peachtree Accounting Program, Publisher and use of e-mail to transmit images as well as words. Executive Director Duties and Responsibilities

 

Administration

  1. Coordinates the work of the Board of Directors.
  2. Coordinates the work of all committees and sees that various projects are carried out in a timely manner by the appropriate committee members.
  3. Hires, schedules and evaluates staff.
  4. Recruits and coordinates volunteers

 Finance

  1. Work with Finance Committee to prepare yearly budget
  2. Work closely with the bookkeeper to prepare accurate and timely financial reports for the board
  3. Prepares individual event budget reports
  4. Works with the endowment committee to insure maximum returns from our endowment. 

Programming

 

Exhibitions

  1. Works with the Exhibition Committee to find artists for year round schedule of exhibits.
  2. Schedules Exhibitions with in the Arts Center calendar and provides names for each show
  3. Produces Artists Contracts
  4. Arranges for shipping, receiving and return of artwork
  5. Curates, Hangs and lights each exhibition. (Eight per year)

 

Performances

  1. Works with the Performance committee to choose programming for the season
  2. Finds and Auditions Artists for concerts at APAP in New York and PAE
  3. Negotiates with artists and agents for fees, travel, room and board, and any extra’s involved. (e.g. food in dressing rooms; practice time and place etc)
  4. Negotiates fees and completes report forms for BMI and ASCAP organizations.
  5. Works with assistant on production of performance brochures
  6. Works with assistant on programs and publicity.
  7. Provide technical theatre and stagehand help. This includes moving of sets, running lights and sound for the concert, arranging the stage to include all needed items: piano, music stands, stand lights, drum sets, instruments etc.

Art Show

  1. Find and hire the judge for the show
  2. Order the rentals including tents, chairs, port-a-potties.
  3. Coordinate the food vendors and negotiate fees
  4. Arranging new layout for the artists
  5. Working with the City of Lake Wales for mulch, tree trimming, trash disposal etc.
  6. Hiring dumpsters for the park
  7. Writing to all the various art show publications to insure that artists are notified about our show. (Many of these are done on-line and months in advance)
  8. Working with invitation chair to make sure all sponsors are invited

Lake Wales Chorale

  1. Mailing letters to chorale members to keep them informed of dates and times of rehearsals and performances.
  2. Ordering music for the chorale
  3. Negotiating contracts for Chorale director and assistant director and guest musicians.
  4. Collects dues and concert money at rehearsals
  5. Writes and distributes PR for concerts
  6. Works with the director on repertoire for the chorale
  7. Coordinates tours including working with the tour company on all arrangements for hotels, transportation etc.

Lake Wales Youth Chorale

  1. Hires Director and Accompanist
  2. Coordinates rehearsal and concert dates and spaces.
  3. Writes and distributes PR for the group
  4. Works with the director on repertoire and purchase of music

Student Art Show

  1. Works with the committee and assistant director to notify teachers of rules and dates
  2. Arranges the panels for hanging and lights the show

 

Youth Music Festival

  1. Coordinates the work of the board committee
  2. Finds and hires judges for the event
  3. Write and distribute rules and application forms to schools, private teachers and the general public.
  4. Coordinates the festival day: assigning times, coordinating practice rooms, arranging for accompanists, meals for judges and volunteers and conducting the evening award ceremony and concert.

 

Education Programs

  1. Works with the Assistant Director and Board Committees in planning children and adult classes.
  2. Work with area schools for in-school programming
  3. Is final disciplinarian when students are in the building.

 

Tours

  1. Works with the tour committee in planning tours for the year
  2. Oversees the costs associated with each tour location

 

 

Development

  1. Works with the development committee to secure adequate funding
  2. Writes the development plan outlining the various revenue generating sources and the perks that accompany giving
  3. Researches and writes grants to foundations, governmental agencies and corporations..
  4. Writes the membership letters and collateral materials, changing letter to reflect year round membership appeals
  5. Writes the annual appeal letters and collateral materials
  6. Organizes fundraising events including the Hearts for the Arts Gala, Bravo parties, Treasures We Have Loved,

 

Marketing and Promotion

  1. Develops the marketing and promotion plan for the year.
  2. Work with Assistant  Director to keep the web site current and edit press releases
  3. Work with media to secure free advertising when possible.

 

Operations

Building

  1. Responsible for upkeep and maintenance of the building
  2. Hires and supervises custodial help, lawn services and security and fire monitoring
  3. Is first call for any security or fire alarm problems during non-business hours
  4.  Oversees the work of outside contactors for repairs and maintenance of the building
  5. Arranges for signs inside and outside of the building
  6. Works with Department of Historic Affairs, State of Florida to make sure that all changes to the building meet the requirements of Historic Places designation

 

Gift Shop

  1. Arranges for items to be sold in the gift shop
  2. Makes certain that items on consignment is recorded and artist paid for work sold

 

Permanent Collection

  1. Responsible for safety and  display of the permanent collection
  2. Makes recommendations to the accessions committee for acceptance or rejection of donations to the collection and for possible de-accessioning of items
  3. Works with the Art Show accessions committee in determining the needs of the permanent collection and offering guidance and support for acquiring new items at the Art Show

 

Community Involvement

  1. Because being active in the community is so important to development and friend raising the new ED will be expected to become an active member of the Lake Wales community.
